WhatsApp CRM, in one paragraph
A WhatsApp CRM connects your business WhatsApp number (through the official WhatsApp Business API) to a customer database, so every chat becomes a tracked lead with an owner, a status and follow-up reminders. SoftiIntel builds custom WhatsApp CRMs around your exact sales process — shared team inbox, lead pipeline, automated replies and follow-ups, approved broadcasts, quotations and reports — with no per-user subscription and full code ownership.
Why off-the-shelf WhatsApp CRMs often don't fit
Most WhatsApp CRM tools are built for a generic sales funnel and charge per user or per feature tier. The moment your process has site visits, approvals, custom quotations, multiple branches or IndiaMART leads mixed in, teams end up back on spreadsheets beside the tool.
A custom WhatsApp CRM is shaped to your pipeline instead — and because there are no per-seat fees, adding salespeople doesn't raise your bill.
What we build into a WhatsApp CRM
- Shared team inbox on one business number, with chats assigned to the right person.
- Automatic lead capture: every new WhatsApp enquiry becomes a lead with source and history.
- Pipeline stages, owners and follow-up reminders so no chat goes cold.
- Instant auto-replies and AI answers for common questions, with human handover.
- Approved template broadcasts and follow-up sequences to opted-in customers.
- Quotations and invoices sent straight from the chat.
- Leads from your website, IndiaMART, Justdial or ads in the same pipeline.
- Owner dashboard: response times, conversion by salesperson and source.
How it works technically
Your number is connected to the WhatsApp Business Platform (API) through Meta or an approved provider. Messages flow into your CRM in real time; replies sent from the CRM go out from your business number. Business-initiated messages use Meta-approved templates, and Meta bills conversations separately from the CRM itself.
What a custom WhatsApp CRM costs
Cost depends on how many workflows and integrations you need — a lead inbox with pipeline and reminders is a smaller build than a CRM with quotations, inventory and multi-branch reporting. We quote fixed prices per phase, not hourly, and you own the code outright. Ongoing costs are hosting plus Meta's WhatsApp conversation charges. See custom CRM development or ask for a fixed quote.
faq
WhatsApp CRM: questions, answered.
Can I keep my existing WhatsApp number?
Usually yes. A number moved to the WhatsApp Business API can't be used in the regular WhatsApp app at the same time, so we plan the switch-over with you.
Can multiple salespeople use one WhatsApp number?
Yes — that's one of the main reasons to use a WhatsApp CRM. Chats are shared and assigned inside the CRM instead of passing one phone around.
Is a WhatsApp CRM allowed by WhatsApp?
Yes, when it's built on the official WhatsApp Business Platform and follows its opt-in and template rules. Unofficial tools that automate the normal WhatsApp app risk your number being banned.
Can it connect to my existing CRM or Tally?
Yes. We can sync leads and customers with an existing CRM, and prepare invoices and data in formats accounting tools like Tally can import.
