How Much Does It Cost to Build an AI Agent? What Drives the Price
SoftiIntel Team · · 6 min read
the short answer
The cost of an AI agent depends mainly on how many workflows it handles, how many systems it must connect to, how clean your data is, how much human-approval and safety logic it needs, and ongoing usage (AI model and messaging fees). A single, well-scoped workflow is far cheaper than a do-everything assistant — start narrow.
1. Scope: one workflow or many
The biggest cost driver is scope. An agent that qualifies website leads is a focused build. An agent that handles leads, support, billing and reporting across five channels is several builds. Start with the workflow that has the clearest payback.
2. Integrations
Every system the agent must read from or write to — CRM, WhatsApp, email, calendar, accounting, your own database — adds work. Well-documented tools with APIs are quicker; legacy systems without APIs take longer.
3. Your data and knowledge
An agent is only as good as the information it can use. If your prices, policies and FAQs are scattered or out of date, some of the project is organising that knowledge first.
4. Guardrails and review
Approval steps, escalation rules, logging and dashboards cost more to build — and are what make an agent safe to trust with real customers. Don't skip them to save money.
5. Running costs
- AI model usage — usually billed per volume of text processed.
- Messaging fees, e.g. WhatsApp Business conversations.
- Hosting and monitoring.
- Ongoing improvements as your business changes.
How to keep it affordable
Fix the scope, prefer fixed-price phases over open-ended hourly billing, and insist on owning what's built. That's how we price our AI agent projects. Tell us the workflow and we'll give you a fixed quote.
